Receipt checking for businesses in Austria
All receipts in one place. Checked, sorted, filed.
JJW collects your receipts in one place, and you can upload your own at any time. The app picks everything up automatically, spots duplicates, checks every invoice against Austrian law and files it in a monthly folder and your bookkeeping sheet. Your accountant gets complete receipts instead of follow-up questions.
- Picked up or uploaded
- Duplicates caught
- Checked against § 11 UStG
- Filed in Google Drive & Sheets
- Learns your categories
- Matched to the bank statement
How it works
From receipt to bookkeeping in four steps
The AI reads. Fixed rules decide.
Whether a receipt is acceptable is decided not by a language model but by a traceable rulebook – notes on invoice requirements cite their section of the law. Every field that was read can be viewed and edited before handover.
What gets checked
Nine checks on every receipt – before it reaches your books
Mandatory details § 11 UStG
Everything an invoice must contain. Reduced requirements apply up to €400.
VAT ID § 11(1) UStG
Format and check digit of the VAT ID of supplier and recipient.
Amounts
Net plus tax equals gross, and the line items add up to the total.
Duplicates
The same invoice counts once, even as a different scan.
Bank details Fraud protection
New IBAN for a known supplier? The receipt is held back.
Shell companies BMF list
Matched against the Ministry of Finance list. A hit on the VAT ID stops the receipt.
Unusual items
Amount, tax rate or currency differ from the usual pattern.
Document type § 11(2) UStG
Quotes, delivery notes and reminders are filtered out.
Cross-border & foreign currency § 19 UStG
Reverse charge and foreign-currency invoices are recognised.
Your month with the app
How a month runs – and the app learns as it goes.
The app takes over the categories from your existing cash book and learns from every receipt you confirm. At month end it learns from the finished sheet that goes to your accountant. What it learns is stored in your own database.
Tested on a real cash book from 2023 to 2026. For new suppliers the suggestion is always marked as an estimate.
During the month
-
1
Receipts arrive Automatically from the JJW receipt collection or as your own upload. Duplicates are caught.
-
2
Check and file Green receipts go straight into folder and sheet, all others after a quick look. Learns when you send
-
3
Correct in the app For example add the payment date: the receipt, the sheet row and what was learned all change together.
At month end
-
4
Reconcile One click shows whether app and sheet agree.
-
5
Hand over Folder and sheet go to your accountant, ready sorted.
-
6
Learn from the sheet The app adopts the final categories, including rows added by hand in the sheet. Learns from the sheet
Bank statement
Every payment has a receipt. Every receipt a payment.
The app reads your bank statement and matches each payment to the right invoice. At month end you see at once what is missing – before your accountant has to ask.
- Matched by amount, date and name. Even when the payment carries no invoice number.
- Foreign currency. The dollar amount on the card payment is matched to the invoice; the euro amount comes from the bank statement.
- Unsure cases get suggestions. You pick from up to three matching invoices – nothing is guessed.
- Learns spellings. From “OPENAI *CHATGPT SUBSCR” on the account it learns the supplier on the invoice, and next time it matches by itself.

Frequently asked questions
Who sets this up?
JJW sets the app up together with you: connect your Google account, create the database and hosting in your name, connect the receipt source and bank statement, and take over your existing categories. After that everything runs in your own environment.
Where does the app run and where is my data?
With you. The app is built entirely in your own environment: your Google Drive for receipts and monthly sheets, your own database (Supabase) for checking and learning – values read, categories, suppliers, bank details – and your own hosting. Nothing runs through JJW accounts or servers – we only help you set it up. You choose the server location.
Does it work perfectly from day one?
No, and that is by design. In the first months you upload the bank statement and review the matches together with us. Every confirmation and correction teaches the app your suppliers, spellings and categories. The more it has learned, the less is left to check. Unsure cases always stay with you.
Do I have to upload receipts and the bank statement myself?
Not receipts: JJW helps you collect all receipts in one place, and the app picks new ones up from there automatically. You can always upload more yourself – as PDF, photo or scan. You export the bank statement from online banking (CSV or CAMT.053; at Erste Bank / George under “Export transactions”) and upload it.
